Encodework Systems LLP ("we", "us", "our") operates the Doctor
Prescription mobile application and website (collectively, the
"Service"). This Privacy Policy explains what information we collect
from doctors and clinics who use the Service, how we use it, and the
choices you have. By creating an account or using the Service, you
agree to the collection and use of information as described here.
The Service is a productivity tool for licensed medical practitioners
to create, store, and print patient prescriptions, available through
our mobile app and our website. It is not a medical device and does
not provide medical advice.
1. Information We Collect
1.1 Account Information
- Name, email address, phone number, and clinic/hospital details you provide during sign-up.
- Authentication information when you sign in with Google (via Google Sign-In / Credential Manager).
1.2 Prescription & Patient Data
- Patient details you enter (name, age, gender, contact information, weight/vitals) and prescription content
(diagnosis, symptoms, medicines, dosage, instructions, investigations).
- This data is stored locally on your device (in an encrypted-at-rest local database) and synced to our servers
so it is available across your sessions and devices.
1.3 Subscription & Billing Information
- Your subscription tier (Free, Advanced, or Elite) and purchase status.
- Purchases made through the mobile app are processed entirely by Google Play Billing; purchases made through
the website (where available) are processed by our website payment provider. We do not receive or store your
payment card details in either case — only a purchase token and product/plan identifier is shared with us,
which we use to verify your active subscription.
1.4 Automatically Collected Information

These providers may collect device/browser identifiers, app or browser version, device model, OS version, and
general usage/diagnostic logs.
2. How We Use Your Information
- To create and manage your account and provide core Service functionality (creating, saving, and printing
prescriptions).
- To verify and manage your subscription.
- To send you service-related notifications (e.g., subscription status, sync updates).
- To diagnose technical issues and improve stability and performance.
- To respond to support requests.
We do not sell your personal data or your patients' data to third parties, and we do not use patient data for
advertising.
3. How We Share Information
- Service providers — Google (Firebase, Play Billing, Sign-In) and OneSignal, solely to
operate the features described above, under their respective privacy and data-processing terms.
- Legal requirements — if required to comply with a legal obligation, court order, or
governmental request.
- Business transfers — if Encodework Systems LLP is involved in a merger, acquisition, or
asset sale, your information may be transferred, subject to this Policy.
4. Data Storage & Security
Prescription and account data is stored on secure servers and, on the mobile app, also locally in an on-device
database. We use industry-standard measures (encrypted transport via HTTPS, access controls, authenticated APIs)
to protect your data. No method of transmission or storage is 100% secure, and we cannot guarantee absolute
security.
5. Data Retention
We retain account and prescription data for as long as your account remains active, or as needed to provide the
Service and comply with legal, accounting, or regulatory obligations. You may request deletion of your account and
associated data at any time (see Section 6).
6. Account Deletion
You can request permanent deletion of your account and associated
data at any time, whether you use our mobile app, our website, or
both.
6.1 How to Request Deletion
- In the App — go to Settings → Account → Delete Account and confirm
the request.
- On the Website — use the account deletion option in your account settings, where
available.
- By email — send a deletion request from your registered email address to info@encodework.com with the subject "Account Deletion Request", or call

6.2 What Gets Deleted
- Your account profile (name, email, phone number, clinic/hospital details).
- All patient and prescription data associated with your account, both on our servers and, for mobile users, in
the App's local on-device database.
- Your subscription linkage on our servers (the underlying subscription itself must be separately cancelled with
Google Play or our website payment provider — see our Refund Policy).
6.3 What May Be Retained
We may retain limited data where required to comply with legal,
tax, billing, or regulatory obligations (e.g., purchase records), or to
resolve disputes and enforce our agreements. Such data is retained only
as long as necessary and is not used for any other purpose.
6.4 Processing Time
We process account deletion requests within 30 days of verifying your
identity. You will receive a confirmation email once deletion is
complete. Deletion is permanent and cannot be undone.
7. Your Rights & Choices
- Access & correction — you can view and edit your account and prescription data
within the Service (app or website).
- Deletion — you can request deletion of your account and data as described in Section 6.
- Notifications — you can disable push notifications from your device's notification
settings.

The Service is intended for use by licensed medical practitioners and clinic staff and is not directed at
children. We do not knowingly collect personal information from children.
